NTN's 6-Step Checklist for Emergency Automotive Parts Orders

Not every automotive parts request gets to wait for standard lead times. In my role coordinating rush orders at NTN, an automotive stamping and machined components manufacturer, I've handled 200+ emergency requests over eight years. Line-down calls. Prototype surprises. "I need it by Friday" turning into "I need it by 2pm."

This is the checklist I follow when a rush order comes in. Six steps. Ignore one and you'll probably end up explaining why a part didn't work. Trust me.

Step 1: Decode what the customer is actually asking for

The first thing I triage is language. The exact words of a request often don't match the part. For example, someone searches for "ntn wheel bearing 626z." That's a specific bearing size with a metal shield. But 626Z doesn't tell you tolerance, grease, or whether your supplier has a certified source. I've seen a $9 bearing cause a $4,000 press die issue because we accepted the part number without checking the spec.

So when the request says "ntn," I ask: do you mean NTN as the brand, or is "NTN" being used generically? It's both—and the distinction matters for ordering.

Step 2: Get photos early—even imperfect ones

If someone emails "ntn driveshaft inc photos," I don't assume they're asking for NTN-brand driveshaft photography. What they mean is usually: "I have a driveshaft, I need to identify it, and I'm sending you photos." That's a totally different request.

I ask for three photos: an end view, a side view, and a clear shot of any markings or stamps. Blurry is okay. We'll magnify and compare. In March 2025, a Tier 1 supplier sent us "NTN driveshaft inc photos" from a plant floor. The photos showed a wear mark that wasn't on the drawing. That single image saved us from making 500 wrong parts.

Take the photo before you call. It saves everyone 20 minutes of back-and-forth.

Step 3: Ask about the environment—not just the part

This is the step most people skip. A part doesn't work in a vacuum.

Say a customer asks about a "diaphragm pump water" application. A standard nitrile diaphragm might be fine for water, but if the water is hot, or treated with chemicals, or the pump runs continuously, you need a different material. Food-grade EPDM might be better. But you won't know unless you ask.

When I see "water" or "air" or "chemical" in a request, I go through four questions:

  • What fluid is it handling?
  • What temperature range?
  • What pressure and duty cycle?
  • Any exposure to cleaning solutions?

Not ideal to ask a bunch of questions when someone's in a hurry. But better than a returned part.

Step 4: Break the cost down—don't just quote one number

Search terms like "replace timing belt cost" look simple. A person wants a number. But the real answer depends on scope. Is it just the belt, or also tensioner, idler, and water pump? Same logic applies to custom stamped parts: a per-piece price without tooling amortization is a trap.

I've been on both sides of this. In 2023, my team lost a $15,000 order because we tried to save $400 on standard freight instead of rush air. That wasn't a parts problem—it was a cost breakdown problem.

When I quote a rush job, I now structure it three ways:

  1. Base part cost per unit.
  2. Tooling or setup amortized to quantity.
  3. Rush delivery fee—itemized, not hidden.

That's the honest way. The client knows what they're paying for, and I know the project is covered.

Step 5: Check compliance before you approve the order

Clients occasionally ask something that reveals a bigger issue. "Does a muffler delete affect emissions?" is a perfect example. The responsible answer is yes—but what they're really asking is whether their vehicle or product will still pass regulations if they remove a component.

For us, this maps directly to exhaust flanges and emissions brackets. A flange can look right on paper, but if the material spec or surface finish doesn't meet OEM standards, it won't pass validation. I've learned to never assume a drawing title is the full spec. We verify the applicable standards (IATF 16949, customer-specific PPAP, or emissions reference) before line production.

Rush orders are not an excuse to skip compliance. That's a lesson learned the hard way.

Step 6: Put everything in writing with a date

After the part is identified, photos verified, environment checked, cost broken down, and compliance reviewed, send a one-page confirmation. It should include the part number, quantity, price structure, and delivery date.

And date stamp it. Use exact wording like "as of April 2025" instead of "this week." Why? Because everyone remembers the conversation differently. I've watched projects go sideways because someone thought "rush" meant "overnight" and someone else thought it meant "three days." A dated, written confirmation kills that ambiguity.

That's the deliverable. Not a text message, not a verbal "okay"—a written record.

Common Mistakes I Still See

Let's go through the traps that show up even with a checklist.

1. Assuming the part number is the whole story

"NTN wheel bearing 626z" doesn't tell you if the customer needs a flanged version, a low-friction seal, or a different grease. Confirm the suffix and the intended application.

2. Skipping the photo request

If someone says "ntn driveshaft inc photos," they're often asking us for photos. But the more important photos are the ones they take of their actual part. A phone picture is worth a thousand emails.

3. Not asking about the operating fluid

A diaphragm pump handling water isn't the same as a diaphragm pump handling coolant. Materials that work fine in one fail in the other.

4. Quoting a single "all-in" price without scope

Whether it's a timing belt service or a stamping die, a vague quote leads to a dispute. Scope it.

5. Ignoring compliance questions

When a customer asks about muffler deletes or emissions-related modifications, don't just shrug. Your part might be the one that fails inspection.

There's something satisfying about taking a chaotic rush order and turning it into a clean, confirmed, deliverable part. After the stress, the late-night emails, and the freight rush, seeing the part land on a line and actually work—that's the payoff.

I don't have hard data on how many rush orders fail because of skipped environmental checks, but based on our 200+ jobs, my sense is it's about one in five returns. The answer is almost always in the details—the photos, the question you forgot to ask, the date stamp on the confirmation.
